Privacy Policy

This policy explains how Kernan Enterprise LLC ("we", "us") collects, uses and protects information when you use Esdras, including our Windows app, iPhone app, hosted servers and this website (together, the "Service").

Information we collect

• Account information: names, usernames, email addresses and company details for the people who use your Esdras account.
• Business data you enter: products, variants, stock levels, prices and costs, vendors, stores, purchase orders, transfers, counts, and the activity history of these records.
• Technical information: IP addresses, app version, device type and server logs, used to keep the Service running and secure.
• Communications: emails and support requests you send us.

Where an app uses the camera to scan barcodes, scanning happens on the device, and camera images are not stored or sent to us. Photos you attach to records, such as order notes, are stored with your account. Photos and documents you give the AI to read (see below) are not stored on our servers.

How we use information

• To provide, maintain and support the Service
• To keep the Service secure and prevent misuse
• To communicate with you about your account, billing and changes to the Service
• To fix problems and improve the Service

We do not sell your information, and we do not use your business data for advertising.

How your data is stored

Each customer company has its own separate database on servers we operate. Data travels between the apps and our servers over encrypted (HTTPS) connections. Access is limited to people who need it to operate and support the Service.

Optional AI features

Esdras includes optional AI features, such as the weekly briefing, reorder suggestions, answers to questions, alerts, and reading invoices, photos or spreadsheets. They are off until an account administrator turns them on. When they are on:

• We send the AI only what a request needs: usually summaries, such as sales totals or stock levels, never your whole database.
• When you choose a file for the AI to read, such as a supplier invoice or a product photo, that file is sent as-is to be read, and the AI returns a draft for you to review. We don't keep the file on our servers. For spreadsheets, only the column headings and up to five sample rows are sent, not the whole file.
• Costs and prices from your records are not sent unless an administrator allows it. The exception is a file you choose to have the AI read, which is sent with whatever it contains.
• Your staff members' names are removed before anything is sent. When you ask the AI to draft an order email to a vendor, it receives the order's items and quantities, your vendor contact's name, and your account number with that vendor.
• The AI suggests; it never changes your data on its own. You review and approve every change.
• The AI is provided by Anthropic. Under its standard commercial terms, Anthropic does not use your data to train its models. It keeps data only for a limited period, for example for safety and abuse monitoring, and then deletes it.

When we share information

• Service providers that help us run the Service, such as cloud hosting, email, payment processing, and Anthropic for the optional AI features, under agreements to protect your data.
• Integrations you turn on: if you connect Esdras to another service, we exchange the data needed for that connection at your direction.
• Legal requirements: when required by law, or to protect the rights and safety of our users or the public.
• Business transfers: if our business or the Service is sold or merged, your information may transfer to the new owner under this policy.

Keeping and deleting data

We keep your data while your account is active. If you cancel, you can export your data, and we delete it from our active systems within 90 days, except where we must keep records by law. Backups are overwritten on their normal schedule.

Your choices

You can access, correct, export or delete your data. Account administrators can do most of this in the app; for anything else, email support@esdras.app.

Children

The Service is for businesses and is not directed to children under 13.

Changes

We'll post updates here and change the date above. For significant changes, we'll notify account administrators by email.
